Where Otter.ai wins

  • Real-time transcription you can read and edit live during the call, with teammates in the same document — Life Manager Pro transcribes after the fact and has no collaboration at all.
  • Works everywhere: web, iOS, Android, and a Chrome extension. Life Manager Pro is a Mac app and nothing else.
  • A free tier, and by far the largest install base in the category — most people you meet with already know what Otter is.
  • Excellent speaker identification and searchable team-wide meeting archives.
  • Mature integrations with Zoom, Teams, Google Meet, Slack, and the major CRMs.

Where Life Manager Pro wins

  • Audio never leaves your Mac. Otter uploads it, stores it, and — unless you find and change the setting — trains on de-identified versions of it.
  • $49 once versus $8.33–$30 per user per month, forever.
  • No bot joins your call, so there's nothing for IT to block at the tenant level and nothing announcing itself to your client.
  • No transcription minute caps, because it's your own CPU doing the work.
  • Action items land in the same app as your tasks, projects, CRM, and goals instead of staying in a transcript silo.

Should you actually switch?

What is the Otter.ai lawsuit about?
A consolidated federal class action in the Northern District of California (filed December 2025, combining four suits from August–September 2025) alleges Otter recorded conversations without consent from all participants and used them to train its models, citing federal wiretap law and California's all-party consent statute. Otter denies that any interception occurred. Its motion to dismiss was argued in May 2026 and, as of July 2026, no ruling has issued. We're describing pending litigation, not asserting wrongdoing — but it's why many legal and compliance teams have started blocking notetaker bots.
Can I stop Otter from training on my meetings?
Yes — there's an opt-out in Otter's account data controls. The point is that it's opt-out rather than opt-in, so it's on by default until you go find it.
Does Life Manager Pro do live transcription like Otter?
No. It records the meeting and transcribes afterward with local Whisper. If watching the transcript scroll during the call is important to you, Otter does that and we don't.
Is Life Manager Pro HIPAA compliant?
No software is HIPAA compliant by itself, and we don't claim to be. What we can say factually: meeting audio is processed on your Mac and never transmitted, which removes the third-party disclosure that makes cloud notetakers difficult to clear. Your own compliance review still applies.

No bot in the call. No audio on someone else's servers.

14-day free trial, no credit card. Local Whisper transcription and no per-seat bill — $49 once.
